Whether you’re in the hospital, research, new technologies or mobility sectors, a congress is the ideal event for professionals to get together.
A congress is a gathering of people who come together to discuss common issues and bring out the results. Often organized over several days, a convention serves several purposes:
- Share your knowledge with other professionals in your sector
- Create meaningful future partnerships and collaborations for your institution or company
- Training through workshops, seminars and conferences
- Discuss the prospects, issues and challenges facing your sector
- Discover new innovations, products and services in your sector to improve performance
So how do you organize an unforgettable convention? That’s what I’m going to tell you in this article….
Find a clear goal and program
A conference without a clear objective for its participants is like a GPS without a destination: everyone is going in circles and no one knows where to go.
You need a precise objective and a clear program to make your target audience want to attend the event. This will enable them to be fully integrated into the event and to find meaning in it. They’ll remember it fondly, and take away positive memories and learnings that will stand them in good stead. And that’s all we want.
So how do you find a goal and build a clear program?
Do professionals in the sector have questions about the future of their profession? Are there issues and/or research that need to be brought to the attention of institutions?
Ask yourself questions and write down what comes out of them to establish why your congress will be useful and why professionals should attend. This will enable you to draw up a clear program, thinking about the speakers you’d like to invite, the workshops you’d like to set up and the highlights you’d like to organize.
Plan interactive sessions/workshops
A congress is people you meet. People who reach out to you, perhaps at a time when you couldn’t, when you were home alone. And it’s strange to think that chance encounters forge a destiny… (I hope you have the reference, otherwise I’d be lonely…).
This fine tirade is to tell you that the aim of a convention is also to bring your delegates together through workshops. They must be based on the theme of your congress. They are designed to make professionals think. This enables them to enrich their knowledge and develop their skills.
Interactive workshops create a warm and friendly atmosphere.
Find speakers
Being inspired, leaving with stars in your eyes, learning from others and having fun – these are also the goals of a convention. This is made possible in part by the speakers you bring on board.
To find your speakers, look for different profiles. Industry specialists, researchers, market-leading companies, people with experience related to the objective of your congress will enrich your event.
And don’t forget to include time for questions and answers, to ensure that your participants are satisfied and not left wanting more.
Organize your convention in an adapted and accessible venue
A congress is a big event, and therefore a venue capable of accommodating a large number of people with a rich program.
A convention needs a venue that has :
- One or more auditoriums for your conferences
- From committee rooms for your interactive workshops
- A exhibition hall to set up an exhibition showcasing the latest innovations/products in your sector
- A dedicated dedicated to catering for cocktails and meals
For a successful congress , the venue you have chosen must also be easily accessible. Having access to transport and/or a personalized transport service will make it easier for your delegates, who come from all over the world, to attend.
Choosing the right hotel
A convention brings together hundreds of people over several days. Your delegates need to be accommodated to ensure they are as comfortable as possible during this often hectic event.
A hotel close to the chosen venue is essential. The capacity of these hotels must be adapted to the number of participants expected at your congress.
It should be ideally accessible by public transport and easy to get to, to minimize travel time and maximize the comfort of your participants. This is what will enable them to concentrate fully on the event and enjoy it to the full.
